  • When you visit our website or request a quote, we collect information such as your name, company name, email address, WhatsApp number, and certain technical information.
  • We use it to respond to your inquiry, provide information about our services, and communicate with you. We send marketing messages only if you opt in.
  • We do not sell or rent your personal information. We share it only as described in this policy.
  • You can contact us at sales@dialerhost.com with questions about your personal information or to exercise your privacy rights.

1Who we are

DialerHost ("DialerHost," "we," "us," or "our") is a trademark of a legally registered company in Delaware, United States.

DialerHost provides business telecommunications and hosted calling solutions, including:

  • Hosted VICIdial servers and dialer solutions.
  • Voice over Internet Protocol (VoIP) services.
  • U.S. and Canadian telephone numbers (DIDs).

Our website, dialerhost.com, provides information about these services and allows businesses to request quotations.

For privacy questions or requests, email sales@dialerhost.com.

2Scope of this policy

This policy explains how DialerHost collects, uses, discloses, stores, and protects personal information obtained through:

  • Our website, dialerhost.com.
  • Our quote request form.
  • Email, WhatsApp, and telephone communications.
  • Business inquiries and related customer communications.

This policy applies to visitors and prospective business customers regardless of their country of residence, subject to applicable laws.

The privacy rights and requirements that apply may depend on your location and the circumstances of the processing. Nothing in this Policy limits rights provided by applicable law.

Customer telecommunications data

When providing hosted VICIdial, VoIP, and related services, DialerHost may process information on behalf of business customers, such as call records, call recordings, telephone numbers, and calling lists. Our customer service agreement governs how that information is handled and the responsibilities of each party.

Information collected during customer onboarding, including know-your-customer (KYC) verification, is also handled under our customer service agreement.

This policy does not replace those agreements. DialerHost and its customers each remain responsible for their own obligations under applicable privacy and telecommunications laws.

3.2 Information collected automatically

When you visit our website, our hosting provider and other website infrastructure may automatically process technical information, including:

  • Internet Protocol (IP) address.
  • Browser type and version.
  • Device and operating system information.
  • Pages requested.
  • Date and time of access.
  • Referring website information.
  • Other technical information needed to operate and secure the website.

This information may be processed for website operation, security, and troubleshooting.

3.3 Quote form submission information

When you submit a quote request, the form also records:

  • The submission date and time.
  • The webpage from which the request was submitted.
  • The language version of the page (English or Spanish).
  • Campaign referral information, including UTM parameters where present in the link you followed.

This information helps us manage inquiries, keep records, and understand how prospective customers find our website.

Rejected or invalid submissions. If our systems identify a submission as spam, automated, incomplete or invalid, we may retain the submitted information and related technical information separately for a limited period. We use these records to investigate abuse, troubleshoot the form and improve spam prevention. We do not treat them as sales leads unless we determine that a submission was incorrectly rejected.

3.4 Information from direct communications

If you contact us by WhatsApp, email, or telephone, we may receive your contact details, the contents of your messages, and information you choose to share about your business requirements.

Our website includes a WhatsApp chat button. When you use it, you leave our website and interact with WhatsApp. WhatsApp/Meta may process information about your use of its service under its own terms and privacy policy. DialerHost processes the information we receive through your conversation as described in this Privacy Policy. Starting a chat does not by itself subscribe you to marketing messages.

Please avoid sending sensitive personal information unless it is necessary for your inquiry.

3.5 Spam protection on the quote form

Our quote form uses Cloudflare Turnstile to help detect automated or abusive requests. When you open a page containing the form, Turnstile processes technical information from your browser and device, such as your IP address and browser information, before you submit the form. On submission, our server sends the Turnstile token to Cloudflare for validation. We do not store that token with your quote request.

Cloudflare processes technical signals on our behalf to provide Turnstile’s bot protection. Cloudflare also uses signals to improve its bot detection capabilities and acts as a controller for that processing. For details, see the Cloudflare Turnstile Privacy Addendum and Cloudflare Privacy Policy.

4How we use your information

We use personal information for the following purposes:

  • Responding to inquiries: to review quote requests, answer questions, and provide information about our services.
  • Preparing quotations: to understand your requirements and recommend suitable hosted VICIdial, VoIP, or related services.
  • Business communications: to communicate about quotations, service availability, pricing, and related inquiries.
  • Service administration: to manage customer relationships and support services requested by customers.
  • Marketing communications: to send promotional messages, product updates, and special offers, only if you opt in.
  • Website improvement: to understand which pages, languages, and campaigns bring us inquiries, identify technical problems, and improve the visitor experience.
  • Security and fraud prevention: to protect our website, systems, and business from unauthorized access, misuse, or fraud.
  • Legal compliance: to comply with applicable laws, respond to lawful requests, resolve disputes, and protect our legal rights.

Where applicable law requires a legal basis for processing personal information, we rely on an appropriate basis. This may include your consent, steps you request before entering into a contract, performance of a contract, compliance with legal obligations, or legitimate interests where permitted.

5WhatsApp, email, and marketing communications

5.1 Communications about your inquiry

When you submit a quote request, you authorize DialerHost to use the contact information you provide to respond to that request.

Our main channel for quote inquiries is WhatsApp. If we cannot reach you on WhatsApp, we may contact you by email or at the alternate phone number you provided.

These communications may include quotations, service information, clarification requests, and follow-up messages related to your inquiry.

Requesting a quote allows us to respond to that inquiry using the contact details you provide. It does not subscribe you to marketing. We send promotional messages only if you separately opt in. You may withdraw marketing consent without affecting your quote request.

5.2 Optional marketing communications

If you choose to receive marketing communications by checking the optional box on our quote form, we may occasionally send:

  • Product and service updates.
  • Promotional offers.
  • Information about new services.
  • Relevant business announcements.

We send these messages by WhatsApp or email. You do not need to subscribe to marketing messages to request a quote.

5.3 Opting out

You can withdraw your marketing consent at any time by:

  • Replying UNSUBSCRIBE (or BAJA) to any marketing message we send by WhatsApp or email, or
  • Emailing sales@dialerhost.com with your request.

We will process opt-out requests in accordance with applicable law. Opting out of marketing does not stop messages we need to send about an existing inquiry or service relationship, where legally permitted.

6Cookies and similar technologies

Cookies are small data files that websites may store on your device. Similar technologies include browser storage, tracking pixels, and other tools used to support website functions or measure activity.

6.1 Current website technologies

Our website uses the technical infrastructure needed to deliver its content. Our hosting provider may process technical information when you visit, as described in section 3.2.

Our website uses Google Fonts. To display our fonts, your browser connects to Google's servers and sends technical information, including your IP address.

Our quote form uses Cloudflare Turnstile for spam protection, as described in section 3.5. Turnstile may use cookies or similar technologies that are necessary for this check.

Our English page may suggest the Spanish version based on your browser’s preferred language. If you accept or close the suggestion, or switch from Spanish to English, your browser stores “en” or “es” so the suggestion does not keep appearing. This preference stays on your device and is not sent to us. We do not use it to identify you or track you across websites. You can remove it by clearing your browser’s site data. Separately, a quote submission records the language of the page used.

6.2 Future analytics and advertising tools

We do not currently use analytics tools, advertising conversion tracking or advertising pixels. Before introducing them, we will update this Policy, explain the technologies and purposes, and provide the consent and preference controls required by applicable law.

6.3 Managing cookies

You can manage or delete cookies through your browser settings. Disabling certain technologies may affect some website functions.

7How we share personal information

We do not sell or rent your personal information. We share it only as described below.

7.1 Service providers

We use these third-party services to run our website and business communications:

  • Google: Google Sheets and Google Apps Script receive and store quote requests. Gmail delivers inquiry notifications and business email. Google Fonts displays our website fonts.
  • Hostinger: hosts our website.
  • Cloudflare: provides Cloudflare Turnstile to protect our quote form from spam and automated abuse. Cloudflare processes technical signals on our behalf for this purpose, and acts as a controller when it uses signals to improve its bot detection (see section 3.5).
  • WhatsApp (Meta): carries our WhatsApp messages with prospective customers and business contacts, including chats started with the WhatsApp button on our website. WhatsApp/Meta also processes information about your use of its service under its own terms and privacy policy (see section 3.4).

These providers process information under their own service terms and privacy policies. Depending on the service, a provider may process information on our behalf, for its own purposes, or both, as described in this policy.

7.2 Legal requirements

We may disclose personal information where reasonably necessary to:

  • Comply with applicable laws or legal obligations.
  • Respond to valid legal processes or lawful government requests.
  • Protect our rights, property, and systems.
  • Investigate suspected fraud, misuse, or security incidents.
  • Protect the safety and rights of others.

7.3 Business transfers

If the business operating DialerHost undergoes a merger, acquisition, restructuring, sale of assets, or similar transaction, relevant information may be transferred as part of that transaction, subject to applicable legal requirements.

7.4 Advertising

We do not currently share website visitor information with advertising platforms. If we introduce advertising measurement tools, we will update this Policy first and provide the consent and preference controls required by applicable law.

8International data transfers

DialerHost is a trademark of a legally registered company in Delaware, United States. We serve customers in multiple countries.

Our service providers may process personal information in the United States and other countries, whose data protection laws may differ from those where you live.

Where applicable law requires safeguards for international transfers, we will put the required measures in place.

9Data retention

We keep personal information only as long as reasonably necessary for the purposes described in this policy, subject to applicable legal requirements.

Quote requests that do not lead to a business relationship. We delete or anonymize this information within 24 months after submission, unless we are still in active discussions with you about the request or need the information to comply with a legal obligation or establish, exercise or defend legal claims. We document any exception and delete or anonymize the information when the exception no longer applies. When deleting information, we remove or anonymize it from systems we actively use and take reasonable steps to prevent recovery through accessible version history.

Rejected submissions. Rejected submissions are deleted or anonymized within 90 days of receipt, unless specific information must be retained longer to investigate a documented security incident, comply with a legal obligation, or establish, exercise or defend legal claims. We limit any extended retention to the information needed, document the reason and delete or anonymize it when that reason no longer applies.

Customers. We may keep information about customers for the duration of the business relationship and for an appropriate period afterward, as required for legal, accounting, and contractual purposes.

Consent and opt-out records. We may keep a limited record of your consent and marketing choices, including any opt-out request, for as long as needed to honor your preferences and demonstrate compliance with applicable law.

You can ask us to delete your personal information at any time, as described in section 11.

10Data security

We take reasonable administrative, technical, and organizational measures designed to protect personal information from unauthorized access, disclosure, alteration, destruction, or misuse.

Access to personal information is limited to individuals who need it for legitimate business purposes.

However, no method of electronic transmission or storage is completely secure, and we cannot guarantee absolute security. If you believe your information has been compromised in connection with our website or communications, contact us at sales@dialerhost.com.

11Your privacy rights and choices

Depending on where you live and the laws that apply, you may have the right to:

  • Access: request information about the personal data we hold about you.
  • Correction: request correction of inaccurate or incomplete information.
  • Deletion: request deletion of your personal information, subject to applicable exceptions.
  • Withdrawal of consent: withdraw consent for processing that relies on consent.

Email sales@dialerhost.com with the subject line "Privacy Request." Include enough information for us to find your records, such as the name, email address, or WhatsApp number you used in your inquiry.

For security, we may ask you to verify your identity before we act on certain requests. We aim to reply promptly, and we will respond within the timeframes required by applicable law.

11.2 Marketing preferences

You can opt out of promotional messages at any time. We may keep limited information needed to make sure your opt-out continues to be respected.

11.3 Non-discrimination

We will not discriminate against you for exercising your privacy rights.

12Children's privacy

DialerHost provides business-to-business telecommunications services. Our website and services are intended for adults acting in a business or professional capacity and are not directed to anyone under the age of 18.

We do not knowingly collect personal information from children. If we learn that we have collected personal information from a child, we will take appropriate steps to delete it in accordance with applicable law. If you believe a child has submitted information through our website, contact us at sales@dialerhost.com.

14Language

This Privacy Policy is available in English and Spanish. The Spanish version is provided for the convenience of Spanish-speaking visitors. We intend both versions to have the same meaning. If there is an inconsistency between them, the English version will be used to interpret this Policy, except where applicable law requires otherwise.

15Changes to this policy

We may update this policy to reflect changes in our business, website technologies, service providers, or legal requirements. When we do, we will update the "Last updated" date at the top of this page.
